Shipping & Returns

Shipping

Orders are shipped via DHL. We do our utmost to dispatch them within 1–3 business days, but we cannot be held responsible for any delays during transit.

We are not liable for parcels that show as delivered in the tracking system but were not received by you, or for shipments that do not arrive due to incorrect address details provided at checkout. In such cases, we cannot reimburse the cost of the products. Please double-check your address before completing your order.

Of course, you can always contact us at info@vintagebulk.nl, and we will do our best to assist you. Please remember to include your order number in your email.

Any import duties, VAT, or other import costs for shipping outside the Netherlands are always the responsibility of the customer. Vintagebulk is not liable for these costs.


Returns

For returns of reseller boxes, all items included in the original order must be returned. If one or more items are missing, we cannot accept the return (this also applies to purchased shipping bags).

You may return your item(s) within 14 days of receipt if they are not as expected. Return requests submitted after this period will be declined. After registering your return via the return portal, you have an additional 14 days to ship the package.

All returns must be registered through the return portal. The link to the portal can be found at the bottom of the website or on the contact page. If no registration is made and/or the instructions in the portal are not followed, we cannot accept the return.

To be eligible for a return, the order must be in the same condition as received: unworn, unused, with the original tags still attached (in the original position), and in its original packaging. Please also include proof of purchase. Returns that do not meet these conditions will be declined.


Important Notes

  • Return shipping is at your own expense and risk. We cannot be held responsible for lost or undelivered return parcels.

  • Only items that meet the return conditions will be accepted.

  • If you choose our steaming service, the shirts are steamed before shipping. This is a personalized, additional service for which a separate fee is charged. Because the service is applied directly to the purchased item, the steaming fee is non-refundable, even if the product itself is returned.


Return Process

  1. Register your return through the return portal (link at the bottom of the page).

  2. Download and print the shipping label via the portal and attach it to your return package.

  3. Pack the item carefully in the original packaging or equivalent, and attach the return label.

  4. Once we have received your return, we will process it as soon as possible.

Refunds

Once your return has been received and inspected, we will notify you of the status. If approved, the refund will be issued to your original payment method within 10 business days. Shipping costs are non-refundable. Please note it may take additional time for your bank or credit card company to process and post the refund.

Order Check & Complaints

Check your order immediately upon receipt. If an item does not match the description, please contact us as soon as possible. Please note that we apply a 20% margin of error.

⚠️ Important: We can only resolve complaints if the return tags are still attached in their original place. Once removed, the order is considered final. Complaints must always be submitted before returning an order.


Exchanges

Our reseller boxes are uniquely composed, which means exchanges are not possible.


Declined Returns

A return will be refused if it does not meet our return conditions, such as incomplete boxes or missing tags/stickers. In this case, the purchase amount will not be refunded, and the order will be returned to you at our expense.

If we find that items have been listed on resale platforms within the return period and are then returned, this will be considered as product use. Such returns will be refused, and no refund will be issued.

If we determine that stains were removed, items were washed, or otherwise altered, this will also be considered product use, and the return will be refused. Treated items cannot be returned.


Cancellations

Once an order has been placed, it is processed and packed immediately. This means cancellations are not possible. However, the right of withdrawal still applies: you may return the order within 14 days of receipt, provided that the items are in their original condition and with all original tags attached.
