Vintagebulk values your privacy. We therefore only process data that we need to improve our services and handle with care the information we collect about you and your use of our services. We never make your data available to third parties for commercial purposes.

This privacy policy applies to the use of the website and the services provided through it by Vintagebulk. The effective date of these terms is 25/03/2025. By publishing a new version, the validity of all previous versions expires. This privacy policy explains what data we collect about you, how this data is used, and with whom and under what conditions this data may be shared with third parties. We also explain how we store your data, how we protect it against misuse, and what rights you have with respect to the personal data you have provided to us.

Data Processing

Webshop Software – Shopify
Our webshop is built using Shopify. Personal data that you provide for our services is shared with this party. Shopify has access to your data to provide (technical) support but will never use your data for other purposes. Shopify is contractually obliged to take appropriate security measures, including SSL encryption and a strong password policy. Shopify is a certified processor of credit card data. Shopify may collect technical information through cookies, but no personal data is stored. Shopify may share aggregated data within its group to further improve services. The EU/US Privacy Shield applies, meaning your data may be processed in the United States.

Email and Mailing Lists – Klaviyo
We use Klaviyo for email traffic and newsletters. All confirmation emails and webform submissions are sent via Klaviyo’s servers. Klaviyo will never use your data for its own purposes. Each automated email includes an unsubscribe link. Klaviyo stores your data securely and uses cookies and tracking technologies to measure email performance.

Email Hosting – Gmail
We use Gmail for our regular business email traffic. Gmail has implemented appropriate technical and organizational measures to prevent misuse, loss, or corruption of data. Gmail has no access to our inbox, and we treat all email communication confidentially.

Payment Processing – Mollie
For processing payments, we use Mollie. Mollie processes your name, address, and payment details such as bank account or credit card number. Mollie uses technical and organizational measures to protect your personal data and may share anonymized data with third parties to improve services. Mollie adheres to legal retention periods.

Reviews – Trustpilot
We collect reviews via Trustpilot. When you leave a review, you must provide your name and email address. Trustpilot shares this data with us to link the review to your order. Trustpilot may contact you for clarification. Trustpilot is contractually bound to take appropriate security measures and may engage third parties to provide services.

Shipping and Logistics – DHL
For delivery, we use DHL. To ship your order, we share your name, address, and residence details with DHL. DHL only uses this data to execute the agreement. If subcontractors are involved, DHL may share your data with them.

Accounting and Bookkeeping
We use an external accountant to maintain our financial administration. We share your name, address, and order details for invoice management. All personal data is transmitted and stored securely. Our accountant is bound by confidentiality.


General Purpose of Processing

We only use your data to fulfill our services. Your data will not be used for targeted marketing. Data is not shared with third parties except for administrative obligations. All third parties are bound by confidentiality.

Automatically Collected Data
Our website automatically collects technical data (e.g., IP address, browser, operating system) to improve services. These are not considered personal data.

Legal Obligations
Vintagebulk may be required by law to share data for tax or criminal investigations. We will comply only when legally obligated.
